Presentation Information

Contributed papers accepted for the Conference will be presented either as oral or poster presentations.


Both oral and poster presentations are vital to the success of the Conference and are expected to be of similarly high technical quality. Accepted authors will be expected to confirm their attendance mode, in-person or online, no later than March 10, 2023.

All contributed (orals and posters) and invited presentations must be pre-recorded and uploaded by 14th April 2023, even if you are presenting in person. If not, they will be recorded as a “No Show.”

Oral Contributed Presentations

All oral presenters will be required to submit a prerecorded presentation, even if they are presenting in person. You may record your presentation using any program but only MP4 files will be accepted. (If possible, please include your face in your presentation recording.)

The presenting author or representative must be registered at the Conference and available to provide details and answer questions during the Conference.

The contributed presentation format is a 12-minute talk by the registered author, followed by a 3-minute discussion period for in-person attendees.

The invited presentation format is a 25-minute talk by the registered author, followed by a 5-minute discussion period for in-person attendees.

Slides with an aspect ratio of 16:9 is recommended for presentations.

For in-person oral presentations:

  • Authors are expected to bring their presentation on their own laptop computer along with a backup copy on a USB drive in case of laptop failure.
  • If you are presenting with an Apple computer, please ensure you have appropriate connector cords.
  • Please come to the session room 15 minutes prior to your session. This will allow time to connect your PC to the projector for testing.   


Poster Presentations

All poster presenters will be required to submit both a 5-minute prerecorded talk (MP4) and a one-page electronic poster (PDF) separately, even if they are presenting in person. You may record your presentation using any program, but only MP4 files will be accepted for the prerecorded talk. There is no specific format or template for the electronic poster, but only PDF files will be accepted for the one-page poster.

Posters should consist of well-prepared visual materials about the work.

The presenting author or representative must be registered at the Conference and available to provide details and answer questions during the Conference. 

Only in-person poster presentations will be eligible for the Best Poster Award.

To those who will use the poster printing/pick-up service in Sendai.

  • We have prepared a service to upload you poster data, and pick-up printed copies in Sendai.
  • The cost to use this system is \13,200 (tax included)
    Payment is only accepted via credit card.
  • When using the upload service, be sure to follow the In-Person Poster Guidelines.

In-Person Poster Guidelines

  • Posters should be printed to fit the onsite presentation board dimensions of 90cm (35 inches) wide by 210 cm (82 inches) high.
  • The Conference provides a small sign designating the ID of the presentation to be posted on each board and a small number of push pins for displaying the poster on the board.
  • There is no specific format or template for the In-Person poster, but the presentation title, author name and affiliation must be listed at the top.
